Refunding Medicare Overpayments When the Jurisdiction B Durable Medical Equipment Medicare Administrative Contractor (DME MAC) determines that a supplier has been overpaid, an initial demand letter (overpayment letter) is issued to the supplier which identifies the services that triggered the overpayment process. The demand letter contains a document control number (DCN) which must be included on any communication with the DME MAC regarding the overpayment. When a supplier receives a demand letter, the supplier must refund the overpayment in either one of the following ways: 1. Mail a check for the amount of the offset.A self-addressed envelope is sent to the supplier with the initial demand letter. Suppliers should use the self-addressed envelope when mailing a check for refund. To avoid accruing interest, payment must be received within 30 days. 2. Request an Immediate Offset by Fax.The Overpayment and Recovery Unit (ORU) has developed the Overpayment Recovery Unit Jurisdiction B DME MAC Offset Request Form for suppliers to utilize when an overpayment has been identified and the supplier wishes for the DME MAC to take the money back via an offset versus sending in the overpayment. This form can also be utilized for voluntary refund requests. This form must be completed in its entirety and faxed to 317-913-6164. The form is located on the National Government Services Web site at: http://www.ngsmedicare.com/content.aspx?CatID=3&DOCID=723 IMPORTANT NOTE: If a supplier has mailed a check to satisfy the overpayment, the supplier must not also submit a request for offset. Likewise, if the supplier has submitted an offset request, the supplier must not mail a check for the amount of the refund. Doing this may result in duplicate recoupments. Suppliers have the same two options when making a voluntary refund. The supplier may request an offset by fax or the supplier may mail the payment. When mailing their refund, suppliers may use the Overpayment Recovery Unit Jurisdiction B DME MAC Voluntary Refund Form located on the National Government Services Web site at: http://www.ngsmedicare.com/content.aspx?CatID=3&DOCID=723
